The Living Studio is committed to protecting your privacy. This notice explains what personal information we collect, why we collect it, how we use it and what rights you have.

It applies to our website and to all of our services, including Signature Styling, Home Staging, Home Management, Interior Styling & Decoration and our Digital Guides.

The information we collect

When you enquire

Our enquiry form asks for your name, email address, the type of space you'd like styled, the number of rooms, their approximate size, the country your space is in, and anything else you choose to tell us. If you tick the box, we'll also record that you'd like to receive news and updates.

When you book a project

We collect the billing name and address needed to issue your invoice, and a record of your payment. We do not see or store your card details — payments are handled by our payment provider, [name].

When you complete your Style Profile

This is the most detailed information we hold. It includes your design preferences, how you use the space, your budget, room measurements, details of furniture you already own, and any Pinterest boards or reference images you share with us.

It also includes photographs and video of your property, which you upload so we can design for your actual space. These may show the interior and exterior of your home, your possessions, and — if they happen to be in shot — other people. Please see the section below on photographs and video.

When you contact us

We keep a record of correspondence by email, telephone, WhatsApp or social media, so we have a history of your project.

When you use our website

Our website is hosted by Squarespace, which collects standard technical information such as your IP address, browser type, and the pages you visit. Cookies are covered in a separate section below.

Photographs and video of your property

We treat these with particular care, because images of someone's home are personal in a way that a name and email address are not.

We use them only to design your project. They are not used for marketing, published on our website or social media, or shown to anyone else, unless you give us separate, specific permission.

If we would like to use images of your project in our portfolio, we will ask you separately, after your project is complete. You are free to say no, and saying no makes no difference to the service you receive. If you say yes and later change your mind, tell us and we will stop using them, although we may not be able to recall material already printed or shared.

Please avoid including other people in the photographs where you can, particularly children. If someone appears incidentally, we will not use that image for anything other than your design, and we will not use it in our portfolio.

We delete them [12 months] after your project is delivered, unless you have given consent for portfolio use, in which case we keep the specific images covered by that consent.

Why we use your information, and our lawful basis

To respond to your enquiry and prepare a quote
So we can answer you and price your project. Our lawful basis: legitimate interests — responding to people who contact us.

To deliver your Signature Styling project
So we can create and send your Styling Book and provide follow-up support. Our lawful basis: performance of a contract.

To produce and post a printed edition
To fulfil an order you have placed. Our lawful basis: performance of a contract.

To take payment and keep financial records
So we can be paid, and to meet our tax obligations. Our lawful basis: performance of a contract, and legal obligation.

To send news and updates
To keep you informed about our services. Our lawful basis: consent.

To use images of your project in our portfolio
To show prospective clients our work. Our lawful basis: consent.

To keep records of projects and correspondence
So we can manage our business and handle any query or dispute. Our lawful basis: legitimate interests — running and defending our business.

For website analytics and cookies
To understand how our site is used. Our lawful basis: consent, where required.

Where we rely on legitimate interests, we have considered whether our interests are outweighed by your rights, and we believe they are not. You can object at any time — see Your rights below.

Who we share it with

We do not sell your information, and we do not share it for anyone else's marketing.

We use the following service providers, who process information on our behalf and only on our instructions:

  • Squarespace — our website, enquiry form and online store

  • Typeform — your Signature Style Profile

  • Google Workspace — email, and Google Drive where you upload photographs and video

  • [Payment provider] — taking payment

  • [Email marketing platform] — sending news and updates, if you've opted in

We may also share information where we are required to by law, or where it is necessary to establish, exercise or defend a legal claim.

Sending information outside the UK

Some of our providers are based outside the United Kingdom, including in the United States. Where information is transferred outside the UK, we rely on the UK Government's adequacy regulations, or the International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses to make sure it is properly protected.

If you are a client outside the UK, we will hold and process your information in the United Kingdom.

How long we keep it

Enquiries that don't lead to a project — [12 months] from your last contact with us
Project records, including your Style Profile and Styling Book — [6 years] after your project is completed, to cover tax and legal requirements
Photographs and video of your property — [12 months] after delivery, unless you have consented to portfolio use
Financial records — [6 years], as required by HMRC

We review what we hold periodically and delete anything we no longer need.

How we keep it safe

We use reputable providers with their own security measures, keep our accounts protected by strong passwords and two-factor authentication, limit access to your information to those who need it, and delete material when it is no longer required.

No system is completely secure, but we take the protection of your information seriously, particularly images of your home.

Cookies

Our website uses cookies. Some are necessary for the site to work; others help us understand how the site is used. You can manage your preferences through the cookie banner or in your browser settings.

Children

Our services are intended for adults, and we do not knowingly collect information about children. If photographs of your space happen to include a child, we will use them only to design your project, and never for our portfolio.

Your rights

Under data protection law you have the right to:

  • Ask what we hold about you, and receive a copy

  • Have inaccurate information corrected

  • Ask us to delete your information, in certain circumstances

  • Ask us to restrict how we use it, in certain circumstances

  • Object to processing we carry out on the basis of legitimate interests

  • Receive your information in a portable format, in certain circumstances

  • Withdraw consent at any time, where we rely on it — including for marketing and portfolio use

You can unsubscribe from our emails at any time using the link in any message.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed. If we make a significant change, we will let existing clients know by email.
